Trekking Team Pvt. Ltd. ("Trekking Team", "we", "us") operates trekkingteam.com and organizes treks, climbs, and tours in Nepal, Tibet, and Bhutan. Our office is in Gongabu, Pragatinagar, Kathmandu, Nepal. We are registered with the Trekking Agencies' Association of Nepal (TAAN #1106) and the Nepal Tourism Board.
This policy explains what personal information we collect, why we collect it, who we share it with, and the choices you have. It applies to our website and to bookings made by email, phone, or through our partner agencies.
1. Information We Collect
Information you give us directly:
- Contact details: name, email address, phone number, postal address, and country of residence
- Booking details: trip dates, group size, accommodation preferences, and any special requests
- Travel documents: passport number, passport copy, nationality, date of birth, and passport-size photos. These are required by the Government of Nepal for trekking permits, restricted area permits, TIMS cards, national park entry, and Tibet or Bhutan visas
- Health and dietary information: relevant medical conditions, allergies, dietary requirements, and travel insurance details. We ask for these so our guides can look after you properly at altitude
- Emergency contact: the name and phone number of someone we can reach if something happens on the trail
- Payment information: we receive confirmation of payments made through our payment providers. We do not store full card numbers on our own systems
- Correspondence: emails, messages, and enquiry form submissions

3. Who We Share Your Information With
We share your details only where it is necessary to run your trip or where the law requires it:
- Government authorities: Nepal Immigration, the Department of Tourism, TAAN, national park and conservation area offices, and, for Tibet or Bhutan trips, the relevant authorities in those regions. This is a legal requirement for permits and cannot be avoided
- Service providers: hotels, domestic airlines, helicopter operators, transport companies, and insurance partners involved in your trip. They receive only what they need, such as your name and passport details for a flight booking
- Partner agencies: if you booked through one of our international partners, we exchange booking information with them to coordinate your trip
- Guides and trek staff: your guide receives your itinerary, relevant health information, and emergency contact so they can manage the trek safely
- Technical providers: our website host, email provider, and analytics services process data on our behalf
4. How Long We Keep Your Information
We keep booking records for as long as Nepali tax and tourism regulations require, which is generally up to seven years. Enquiries that do not lead to a booking are deleted within two years. Passport copies collected for permits are deleted once they are no longer needed for the permit process and our legal obligations.
5. Your Rights
You can ask us at any time to:
- See a copy of the personal information we hold about you
- Correct anything that is wrong or out of date
- Delete your information, where we are not legally required to keep it
- Stop sending you marketing emails
If you are in the European Union, the United Kingdom, or Switzerland, you have these rights under the GDPR and equivalent laws, and you may also complain to your local data protection authority. To exercise any of these rights, email us at the address below and we will respond within 30 days.
6. Data Security
Your information is stored on password-protected systems with access limited to staff who need it for their work. Payments are handled by established payment providers using encrypted connections. No online system is completely secure, but we take reasonable steps to protect what you share with us.
Please note that when your data is transferred to Nepal for your booking, it is protected under Nepal's Individual Privacy Act 2075 (2018) and this policy.
7. Cookies

8. Children
Our services are aimed at adults. We only collect information about travelers under 18 when a parent or guardian books on their behalf, for example for a family trek.
